This notice explains how we collect, use, store and protect personal information during our recruitment process.

2. What information we collect

When you apply for a role with us, we may collect and use:

  • your name and contact details;
  • your CV and cover letter;
  • employment history;
  • education, training and qualifications;
  • skills, experience and suitability for the role;
  • interview notes and assessment records;
  • right-to-work information, where required;
  • references, where requested at the appropriate stage;
  • any information you choose to provide during the recruitment process.

We only collect information that is relevant to recruitment and employment decision-making.

3. How we collect your information

We may receive your information directly from you or through recruitment platforms such as Indeed, Reed or other job boards.

We may also receive information from referees, where you have provided details and where reference checks are appropriate.

4. Why we use your information

We use candidate information to:

  • assess your suitability for a role;
  • shortlist applicants;
  • arrange and conduct interviews;
  • communicate with you about your application;
  • check qualifications, experience or references where relevant;
  • comply with legal obligations, including right-to-work checks;
  • keep recruitment records for a reasonable period.

5. Use of AI-assisted tools

We may use secure recruitment tools, including AI-assisted tools, to help organise, summarise and review applications.

These tools may help us compare CVs against job-related criteria such as experience, qualifications, skills, availability and role suitability.

AI is used only to assist the recruitment process. Final recruitment decisions are made by a human.

We do not use AI to make fully automated hiring or rejection decisions.

6. Our lawful basis for using your data

We process your personal information because it is necessary for recruitment and pre-employment steps.

Our lawful bases may include:

  • taking steps before entering into an employment contract;
  • complying with legal obligations;
  • our legitimate interest in recruiting suitable staff and managing applications fairly.

Where special category data is processed, we will only do so where legally permitted and necessary.

7. Who can access your information

Your information will only be accessed by people involved in recruitment, such as:

  • the business owner/director;
  • relevant managers involved in the interview process;
  • authorised administrative staff;
  • recruitment platforms or service providers used for the application process.

We do not sell candidate information or use it for marketing.

8. How long we keep recruitment records

For unsuccessful candidates, we will normally keep recruitment records for up to 6 months after the recruitment process ends, unless a longer period is legally required or you agree that we may keep your details for future vacancies.

For successful candidates, relevant recruitment information may become part of your employment record.

9. How we protect your information

We take reasonable steps to keep candidate information secure, including restricting access to those who need it for recruitment purposes.

CVs, interview notes and recruitment documents should not be shared outside the recruitment process unless legally required.

10. Your rights

You may have the right to:

  • request access to your personal data;
  • ask us to correct inaccurate information;
  • ask us to delete information where appropriate;
  • object to certain processing;
  • ask us to restrict how we use your data.
